Call to Order - Christine Schoaff, President Elect

Program - Judith Russell, Dean of University Libraries made a presentation entitled "UF Library Resources and Future Plans." Dean Russell began the presentation with a discussion of many of the aspects of the newly renovated Library West. She mentioned that the library has onsite access to 1 billion books on 39 miles of shelving. Another important aspect of the library is the use of compact shelving that has resulted in an efficient use of space, therefore creating more room for library users. A variety of seating is also available, as well as the popular Starbucks Coffee. Additionally, online resources are available with the use of the Gator 1 Card. Also, the library is equipped with wireless networks for laptop use by library users.

Dean Russell next discussed the future plans for the UF and state university library system. Plans are in the works for UF construct a high density library storage facility to be used by the entire state university system. The facility will house 3 million volumes of books and print material. The facility will be located on the NE side of Gainesville near the Gainesville Regional Airport. There is room for three (3) additional facilities on the land so there is plenty room for long term growth. The facility has been approved by the Board of Governors, however legislative approval is still needed for funding purposes. The facility is slated to be constructed in 2010, with occupancy by 2011.

Dean Russell also discussed the recommendations of the report issued by the Provost's Committee on the Future of the Libraries. The Committee noted several areas of needs of the libraries at UF: (1) capital campaign and fundraising efforts; (2) expanded staff technology training; (3) balanced shift to electronic resources; and (4) strengthening the relationship between campus libraries (Smathers, Health and Law libraries). The Committee also noted the need for sustainability and growth in the area of the libraries' special collections. There is also a need to focus on the needs of undergraduate students who may be overwhelmed by the resources available.

Dean Russell next discussed the libraries' fiscal situation. The libraries are uniquely effected by the budget cuts because their material costs grossly exceed inflation and cost of living rates. Dean Russell reported that the libraries' reduction of materials budget was unchanged due to funding from the Provost. She also noted the importance of having a significant endowment. Currently, the goal is a $20 million endowment but in reality we need a $50 million endowment which would generate an annual income of $2 million. She stressed the importance of identifying donors to achieve this goal.

Dean Russell next discussed ways that we, collectively as APA and and individually, can help the libraries. First, the APA can help identify areas that the libraries can relinquish. The APA can also help analyze and prioritize the campus-wide recommendations received by the libraries. As individuals, we can support UF initiatives on the ballot through voting. Individuals can also participate in library lectures and exhibits. Individuals can help identify donors and make suggestions or comments for improvement.

APA President's Report - Allan Preston reported that the meeting was again being videotaped and will be available on the APA website (www.apassembly.ufl.edu) in an effort to increase member participation. The videos have been well-received and viewed by several members.

APA's Cost Reduction Taskforce had distributed a survey to solicit feedback on cost-cutting and revenue generating ideas. 338 responses were received providing over 3000 suggestions. APA and University Cost Reduction and Efficiency Committee member Mr. Jim Ferrer will present the data to the UF Committee in early December.

Due to budget concerns and scheduling issues there will be no APA holiday party in December. A celebration of APA's five (5) year anniversary will be planned for later next year.

Our joint event with the AAW entitled "UF Budget Cuts and Impacts on Programs" went extremely well. There were 175 attendees. Thanks to Isabel for making this happen! Thanks also to Provost and Senior Vice President for Academic Affairs, Janie Fouke; Senior Vice President for Health Affairs, Douglas Barrett; Senior Vice President for Administration, Kyle Cavanaugh; Dean of the Warrington College of Business, John Kraft; Faculty Senate Chair, Richard Yost; and Vice President for University Relations, Jane Adams for their time and comments.

The next APA Business Meeting is Thursday, January 24, 2008, with Senior Vice President for Administration Kyle Cavanaugh discussing the University Cost Reduction and Efficiency Committee. The meeting will begin at 3:30 p.m. in room 282, Reitz Union.
